Text Message Consent — RSVplan Receptionist

This page documents how a person opts in to text messages from the RSVplan Receptionist program, operated by RSVplan. There is no web form: consent is given verbally, during an inbound phone call, and every call is recorded.

1. Where the opt-in happens

A caller phones a business that uses the RSVplan AI receptionist (“Marissa”) and asks for an appointment. Marissa takes the caller’s name and mobile number and reads the number back digit by digit. Only then does she ask for permission to text.

2. The exact words the receptionist says (call to action)

English: “We’ll text a confirmation and one reminder for your appointment to this number. Message and data rates may apply, and you can reply STOP at any time to stop them. Our terms are at rsvplan.com/terms. Is that okay?”

The caller must answer yes. If the caller says no, the appointment is still booked and no text is sent; the business confirms by phone instead. The receptionist cannot send texts to a number without this yes.

2b. Example of a real call (transcript excerpt)

Receptionist: “Perfect, so that’s 7 1 3, 5 5 5, 0 1 4 2, correct?” — Caller: “Yes.”
Receptionist: “We’ll text a confirmation and one reminder for your appointment to this number. Message and data rates may apply, and you can reply STOP at any time to stop them. Our terms are at rsvplan.com/terms. Is that okay?” — Caller: “Yes, that’s fine.”
Receptionist: “Great. You’re booked for Tuesday at 2:30 PM, and a confirmation text is on its way.”

Retell, the voice provider, deletes recordings and transcripts after 30 days. RSVplan keeps call records (transcript text, summaries and appointment records) while the business uses the service and deletes them within 30 days of the business’s cancellation. Records required by law, such as proof of text consent, may be kept longer.

3. What the caller receives after saying yes (confirmation of enrollment)

With your consent on the call, one confirmation text is sent for a confirmed booking, in the business’s language (English or Spanish). Example:

“[Business name] (via RSVplan): Your appointment is confirmed for [day and time] at [address]. Reply C to cancel. If it’s more than a day away, we’ll text a reminder the day before. Msg & data rates may apply. Reply HELP for help, STOP to opt out.”

Then one reminder text the day before, only if the appointment is more than about a day away, and replies to questions the caller texts to the receptionist’s dedicated number. No marketing.

5. Business owners

Owners of businesses that subscribe to the RSVplan Receptionist give written consent in the RSVplan service agreement to receive short service notices on the mobile number they register. They can reply STOP at any time.
